Contact by online form, email and phone

You can contact us via the online form, by email or by phone. Mandatory form fields are name, company, business email, phone, primary interest, your question and the acknowledgement that you have read this privacy information; additional interests are optional. Acknowledging this notice is not consent and no marketing consent is requested.

Hosting, local fonts and external links

The website and its database are hosted via Lovable. When you access the website, technical connection data such as IP address, time and requested page are processed to deliver the website and keep it secure. Fonts (Inter, Manrope) are served locally; no Google Fonts connection is made. No tracking or analytics cookies are used. External websites, such as LinkedIn or our partners’ websites, are only contacted when you open their links.

Online enquiry form: processing

When you submit the form, we process your name, company, business email, phone number, selected interests and your question, together with the time of submission, a random request ID and the version of this privacy notice. Purpose: answering your enquiry and preparing a contract. Legal basis: Art. 6(1)(b) GDPR where you yourself are or will become the contracting party; otherwise (for example when you enquire on behalf of your employer) our legitimate interest in answering business enquiries, Art. 6(1)(f) GDPR. Your enquiry is stored as a deal with a note and a follow-up task for Manuel Reich in our CRM Pipedrive. To prevent duplicates, a private database stores only the request ID, a content fingerprint, delivery status and CRM reference numbers, not your form content. For abuse protection, at most 10 enquiries per 15 minutes are accepted per connection; for this we store a keyed, pepper-protected hash (HMAC) of your IP address, never the plain IP. This is pseudonymised, not anonymous, data. Entries older than 24 hours are removed during subsequent form submissions; there is no separate scheduled deletion job. The hosting provider additionally processes technical connection and server log data to operate and secure the website. Legal basis: Art. 6(1)(f) GDPR (protection against misuse).

Recipients: Pipedrive OÜ, Estonia (CRM provider, processing on our behalf); the website hosting and database operator via Lovable. These providers may use sub-processors, including outside the EU/EEA; where this is the case, transfers are based on the safeguards provided by the respective provider (e.g. EU standard contractual clauses). Your enquiry is not passed on automatically to manufacturers, partners or insurers (including ERGO); this only happens, if at all, after consultation with you.

Retention: CRM records of an enquiry are deleted when they are no longer needed to handle it and no contract follows, at the latest after a review two years after the last contact; for contracts, statutory retention periods apply (up to 6 or 10 years under HGB/AO). Deletion in the CRM is carried out manually; there is no automatic deletion process. Duplicate-protection entries are deleted together with the enquiry.

Legal bases, retention and your rights

Processing of enquiries serves to answer them and to prepare contracts (Art. 6(1)(b) GDPR) and our legitimate interest in efficient customer communication and protection against misuse (Art. 6(1)(f) GDPR). Data is deleted when it is no longer required for these purposes, subject to statutory retention obligations. You have the right to access, rectification, erasure, restriction of processing, data portability and to object to processing based on legitimate interests. You may lodge a complaint with a data protection supervisory authority, for example the State Commissioner for Data Protection and Freedom of Information Rhineland-Palatinate.
